From Presentations to Conversations: Creating Dialogue in Virtual Congress Settings

The 2020 congress scene has been quickly transformed into virtual gatherings; with a variety of online meeting platforms likely to remain in use into 2021 and probably forever at least as a component of hybrid congress formats. Much of the value of a congress is derived from dialogue: among delegates; between delegates and presenters during Q&A discussion in scientific sessions; around congress booths; and through ancillary congress activities.

We are now challenged with facilitating, within a fully online construct, the types of formal discussion and informal engagement that pharma, HCPs, investors and other congress delegates would have had in the halls and corridors of a physical conference center.

Congress organizers are responding to the need for online engagement and virtual networking beyond the scientific sessions. The utility of congress platforms varies widely. Some congresses employ simple directories or networking tools to connect delegates/presenters who opt in (e.g. via one-to-one chats or video meetings). More advanced systems are providing the facility to run customized delegate searches and to track connections and conversations within a platform (and based on delegate interactions, recommend other people with whom to connect) – and with extended access after the congress ends.

In this session we will discuss approaches to cultivating dialogue of value in a virtual congress setting. Participants will learn tips and best practices on how to increase engagement with online attendees.

Technology: the interactivity being offered by congresses; and how to optimally utilize (and perhaps supplement) congress platform technology to improve engagement
People: the role of the publications professional and medical communicator in facilitating engagement among presenters and delegates; and how to establish leadership and facilitation
Engagement: How attendees are engaging; what is driving, and what is impeding, effective engagement in virtual environments
Regulations: e.g. Joint Guidance from the IFPMA, EFPIA & PhRMA on Virtual International Medical Congresses Impacted by COVID-19
